Managing Parts

To track spare parts in inventory, the related master data must exist — part model (the part definition), manufacturers, and categories. These are maintained centrally at the workspace level.

You create part models, part manufacturers, and part categories under Master Data > Parts. There you find all fields (e.g. part name, part number, manufacturer, category, ordering information).

  • Part Model — the catalog entry that defines a type of spare part
  • Part manufacturers — who makes the part (separate from device manufacturers)
  • Part categories — to structure the parts catalog

A spare part is a concrete inventory item at a deployment, based on a part model. It is tracked with a quantity and a part location. For how to create and structure locations, see Managing Part Locations.

All actions on spare parts (add parts, remove parts, move parts, assembly, disassembly, repair, …) are logged in an action history and are available in the “Inventory History”.

Spare parts can be added via the “Take inventory” dialog. “Add parts” is selected as the default action.

  1. Select the deployment and the part model you want to add.
  2. Select the quantity and the location. If this part model already exists as a spare part in inventory, the current locations are suggested automatically.
  3. Confirm. If the part model is not yet in inventory, a new spare part is created — otherwise the selected quantity is added to the existing location.

To remove a spare part, select it in the inventory view and choose “Remove parts”.

To move a spare part, select it in the inventory view and choose “Move parts”. You can move spare parts between locations or entire deployments.

The price of a spare part can be changed directly on the spare part’s detail page. This is the average price used when the part is consumed in a work order. The price can also be calculated automatically via the incoming goods section. See also FIFO Accounting.
